Introduction - processing of the newsletter

If you are in the editor, you will see the current newsletter draft, which you can now edit. The function bar offers you a wide variety of adjustments, functions and individualizations. Depending on the adjustments you make, the function bar offers you different functions. If you are not editing an article, you will see the function bar in your basic functions.

 

Editing of the article order

The entire newsletter consists of individual articles. The first article is usually a reference with a link to the online version, while the last article contains the link to unsubscribe. If you click once on an article, it will be given a gray frame. A “+” appears above under the article, so you can duplicate the article. With a click on the red "x" you remove the selected article. You can also click and hold the article once. Now you have the possibility to move the article and thus adapt the arrangement of the articles. It is important, however, that you only move the articles into the blue and white structures provided for them. There must be a green tick here. In addition to the articles in the newsletter, the contents of your article library are also available to you when you are editing; this contains all the articles stored in your account. If you also use a cross-account folder, you have access to all articles stored in the named share folder.

Additional articles can be added to the newsletter draft via drag & drop using the templates. Click on the template icon to open the account's article library and its folder structure. To the left of the article name, click on the mini-preview of the article to view it in full size. Once you have found the right article, you can click on it, hold it and drag it into the blue-white structure provided.

As you can see on the screenshot, there is not only the edit mode (pen icon) but also the preview mode (magnifying glass icon). With a click on the respective icon you can switch directly between the modes. The content adjustments must be made in edit mode, while the preview mode enables the newsletter to be checked.

We recommend sending newsletters as "Multipart", which means that the sending formats HTML (H) and Text (T) are used. In addition to the integration of links, graphics and other design options, the HTML version also offers extensive functions, such as tracking for extensive success control. With the HTML version The text version contains only text information, so hyperlinks, for example, are only available as text and not as links.

 

mode

You can switch between article mode and structure mode. The article mode is standard and allows the usual editing of the HTML version. The structure mode is used for the use of special structures and allows, for example, the setting of special articles.

Save the current processing status of your entire draft.

 

HTML to text version

Automatically transfer the content of the HTML version to the text version of your newsletter with a click. You should always do this unless you explicitly want an individual text version.

 

delete content

After confirming the security query, reset your draft to the status of the dispatch template you used.

 

Storage options

Save the current draft as a new dispatch template and under a specific name. You can optionally assign keywords to the delivery template.

 

Test shipping

Test send the current draft. The test dispatch can be sent to you, i.e. the current system user, as well as to a mail address to be selected or to an already uploaded test list. It is also possible to directly import a new address file with mail addresses. Optionally, you can have the test mail sent exclusively as an HTML or text version.

Default settings

In addition to the adjustment of individual standard values, the standard settings also allow you to optimize the sending of certain e-mail clients or devices. It is not mandatory to adjust the standard settings; the settings recommended by us are already stored in Maileon.

 

Global font formatting

You can set your desired fonts, font sizes and font colors as default at any time. You can optionally define your own standards for smartphones, tablets and larger screens. If you do not set this, the default values apply to the named end devices.

 

font

Up to 3 fonts can be selected. The reason for this is that "Helvetica" is used if "Arial" cannot be displayed, for example due to the customer's client. If this cannot be displayed either, "Sans-Serif" is used.

 

font size

There is also a standard value for the font size in the standard settings of your dispatch template. Optionally, a standard value can be set for the display on mobile devices, tablets and larger screens. The background here is that 16 pixels, for example, are ideal for the display from the desktop, but these are too small on the smartphone. It is therefore worthwhile to set individual standard values, especially for the mobile version.

 

width

The font size of your mailings is fixed and should not be edited without specialist knowledge, for example through a modular template training course. Should you wish to change the width of your dispatch template, please contact our service colleagues at [email protected].

Include custom web fonts

You haven't found your preferred font, are you using a font from Google Fonts (https://fonts.google.com) or are you using a chargeable font? You can use all web fonts without any problems and thus further individualize your newsletter or adapt it to the self-image of your company (the CI). All you need is the CSS URL, i.e. the link via which Maileon can access the information about the font. Please note that the resource server has activated Cross-Origin Resource Sharing (CORS), because this is the only way we can use the font. If your web font cannot be displayed, the fonts specified in the standard values will be used.

Save time customizing your mailing template and set preferred default values for font color, link color, link color hover and link color visited. Of course, you can still adjust the font and link color in the desired articles. The default value is used if you do not set any special color requirements for a text section. You also have the option of editing the background color and foreground color. You can choose any color you want using the hexadecimal notation (for example # 6dbc02) and thus freely design the content according to your ideas or your CI (self-image of a company).

If you would like to use a background for your newsletter, you can define this via the folder icon after selecting the option "repeating". The desired graphic, which you can select from the media library or upload directly, can currently be played out as a repeating graphic.

The restriction of the display enables you to further optimize your newsletter. For example, you can only make articles available for openings via the smartphone, hide temporarily valid offers in the archive version or only show affected articles to contacts who are interested in the “Health” section. Please note: For technical reasons, images must be shown and hidden separately within a structure and if desired.

The mobile optimization determines the presentation of your newsletter in the mobile version for each individual article. For example, two graphics that are displayed next to each other in the desktop version are displayed one below the other through the optimization. A mobile optimization according to your own wishes is possible at any time on request or can be communicated directly at the briefing for the creation of a new template.

Introduction - Working in the Article Editor

 

Newsletter drafts consist of a wide variety of articles, these offer you the presentation of the newsletter according to your wishes. If you double-click on an article, you open the article editor and you can now use the texts, graphics and links you want, in addition to many other exciting functions. In the article editor, too, your function bar adapts depending on the editing process, so you are always shown the appropriate functions.

 

If you click once on a slot in the article, it will be marked. The slot is now framed in orange or gray.

Article Structure - Article Editor

Slots with a frame in orange allow you to set content and can now be edited; they are displayed when you simply hover over the article. You can insert graphics directly or swap them with a double click, all previous graphics and link settings are retained. Text slots can be edited directly with an extra click in the text.

Slots with a gray frame represent distances and are only used to structure the article. In general, these should not be adapted without specialist knowledge. However, if available, you can adjust the spacing above and below the content in the article and thus adjust the spacing to the article above and below according to your ideas. To do this, click on the slot, select the item module settings (slot functions) and increase or reduce the specified height.

Save as an article template

You can save edited articles as an article template at any time. If you have selected “save as article template”, a small window will open. Please select the desired folder in which the article template should be saved by clicking on it. Define an appropriate name (here ”Description”) for the new article template and save it, or select an existing article template to overwrite it. The article template is only overwritten if you do not adapt the description any further.

Via ”Media & Templates” you can adjust the respective folder structure for media, article templates and dispatch templates in the respective sub-item at any time according to your own requirements.

Spell check

If you activate the spell check, Maileon checks the text content of the article for spelling mistakes as well as upper / lower case errors. The spell check is currently based on the language settings of your browser.

 

Content

Insert content - Article editor

Content

We offer you a variety of options to insert the desired graphics directly into your newsletter. The first step is to determine where the graphic should be inserted. Click on an existing graphic or place your mouse cursor anywhere in the text.

A) Select an image from your media library.

B) Access files on your hard drive directly.

C) Obtain a graphic directly via a custom URL link. Optionally update source before shipping.

D) Reference a graphic via an individual URL link. Determine the desired path via which the graphic should be obtained. If the graphic behind the link changes, it will be updated and displayed in the newsletter. The procedure is primarily recommended if the set URL link for the newsletter remains identical across the board and the content is temporarily available, for example news articles.

 

Paste content

Of course, you can also easily paste copied text into your newsletter. After clicking on the place where the desired text is to be inserted and selecting the function, the wizard for inserting content opens. The desired text can now be copied into this. Either with a right click and select the option “Paste” or with the shortcut “Ctrl and V”. You can optionally adapt the text directly and then insert it using the “Apply content” button. This removes unwanted formatting that could possibly cause problems in the display.

 

Slot functions

 

font

Design texts according to your ideas and choose your preferred font. By default, Maileon uses the standard font of your standard setting. If you do not want to use this for a single text slot, you can adjust it manually after clicking on the relevant text slot.

Here you do not select one, but 3 fonts in the dropdown. If the recipient cannot display the first font, the second font is used. This behaves in the same way if the second font cannot be displayed.

 

font size

Choose your own font size for the text structure you have chosen. As standard, Maileon uses the standard font size of your standard setting, just like the font. If you do not want to use this for a single text structure, you can adjust it manually after clicking on the text structure concerned.

You can specify the size directly via pixels (px) or the em value. The em value depends on your standard font size, see example. We recommend using the em value if you have defined standards for smartphones, tablets or larger screens in addition to the standard font size.

Example:
The standard font size is 10 pixels and 20 pixels for smartphones
→ at 0.8 em so 80 percent, this corresponds to 8 pixels and 16 pixels for smartphones
→ at 1 em so 100 percent, this corresponds to 10 pixels and 20 pixels for smartphones
→ At 1.2 em, that's 120 percent, which corresponds to 12 pixels and 24 pixels for smartphones

 

Character spacing

Set the character spacing you want. The specification can be specified via pixels or an em value. 1 em corresponds to the text without individual character spacing.

 

Text alignment

Select the desired alignment of your text in the selected text structure. You have the following options: left justified, centered, right justified and justified. The text alignment justified cannot be displayed in some clients, this must be taken into account.

 

Text positioning

Select the desired positioning of your text in the selected text structure. You can choose between the top, middle and bottom options. The function becomes particularly interesting, for example, when there is a text structure next to a graphic and you want to position the text in the middle of the height of the graphic.

Font color

With the Font color function, your entire text structure can be designed in any color. By clicking on the icon you also get access to the font colors used last or you can select any color using the “+”. There are now 2 other options for choosing the color.

Color choice - article editor

A) Free choice of color: Click on the color bar to choose a basic color and use the color table on the left to determine the desired color. You can also access a selection of sample colors via the table on the right.

B) The color selection via defined color values: Determine the desired color via the color code, as well as setting an HSV or RGB value. For example, you can implement the colors of your CI 1: 1.

If you have selected a color using the options mentioned, all other color values are automatically displayed. This is particularly helpful if you use the free choice of colors and want to use the color in other text structures in the newsletter.

 

Row height

Set the character spacing you want. The specification can be specified via pixels or an em value.
